Roles & Responsibilities
- Coordinate and manage calendars, meetings and executive schedules with precision
- Prepare, organize and maintain files, reports and correspondence to keep the department running smoothly
- Perform accurate data entry and coding to support departmental reporting and audits
- Standardize and implement process improvements to increase efficiency and consistency
- Organize travel arrangements and logistics for executives and team members
- Manage supplies and inventory so the office stays stocked and operational
- Coach and train junior administrative staff to build a strong, capable team
- Handle confidential materials and communications with discretion and professionalism
- Serve as a liaison between management, staff and external partners to facilitate clear communication
Qualifications
- Prior administrative coordination or office support experience (non-clinical environment preferred)
- Strong written and verbal communication skills and proven ability to manage confidential information
- Comfort with data entry, document preparation and routine reporting tasks
- Experience with calendar management and meeting coordination for senior leaders
- Demonstrated ability to multi-task, prioritize and drive process improvements
- Proven customer service and interpersonal skills; ability to interact professionally at all levels
- Willingness to train and mentor junior staff and share best practices
Education
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
