Roles & Responsibilities

• Schedule and coordinate outpatient surgical procedures across multiple specialties for ~20 surgeons
• Serve as the primary liaison between surgeon offices, patients, anesthesia providers, and ASC clinical staff
• Manage block utilization and optimize room and staff schedules to maximize daily case volume
• Handle schedule adjustments, cancellations, and same-day add-ons while maintaining smooth patient flow
• Maintain accurate scheduling data in the ASC scheduling system and ensure timely updates
• Coordinate with anesthesia and nursing leadership to align schedules and resources
• Ensure compliance with HIPAA, CMS, and AAAHC/Joint Commission standards in all scheduling activities
• Provide friendly, professional customer service as the front-facing representative of the ASC
• Perform administrative and scheduling-related duties as assigned by the Business Office Manager or Administrator

Qualifications

• Proven experience in outpatient surgical scheduling and case coordination
• Strong familiarity with scheduling systems and schedule management best practices
• Knowledge of HIPAA, CMS, and AAAHC/Joint Commission (or Joint Commission) compliance requirements
• Excellent communication and customer-service skills when interacting with patients and providers
• Ability to exercise sound judgment and flexibility in a fast-paced surgical environment
• Comfort managing same-day add-ons and occasional overtime as surgical volume dictates
• Experience coordinating with anesthesia and nursing teams is highly desirable
