Roles & Responsibilities
- Greet and welcome patients with warmth and professionalism to create a positive first impression
- Answer and manage incoming phone calls promptly and courteously to support patient needs
- Schedule, confirm, and maintain appointment books accurately to keep clinic flow smooth
- Register patients and maintain accurate records from check-in through check-out
- Post charges and payments to patient accounts and assist patients with financial arrangements
- Follow up on cancellations and no-shows to help optimize appointment availability
- Check and manage voicemail daily and respond to patient questions per company policy
- Keep the front office and waiting area clean, organized, and welcoming; support administrative tasks as needed
Qualifications
- High School Diploma or GED (required)
- Prior experience answering phones in a professional setting (required)
- Exceptional customer service and communication skills (required)
- Experience in a dental, medical, or healthcare office (preferred)
- Knowledge of HMO/PPO insurance plans (preferred)
- Comfortable handling posting of payments and assisting with treatment plan coordination
Education
- High School Diploma or GED required
Knowledge & Skills
- Strong customer service and interpersonal communication
- Phone management and voicemail handling
- Appointment scheduling and confirmation best practices
- Accurate patient registration and record keeping
- Basic knowledge of insurance plan types and patient account processes
- Organizational skills and ability to support front office operations
